Most Common Questions
Within 10 business days of campaign close, we’ll use an automated random drawing process to draw a potential winner(s) for that campaign. A confirmation process, which may include a background check, will then take place to ensure the potential winner meets the legal standards required. Winner and, if applicable, their guest(s) agree to cooperate fully with Project Ash in Project Ash conducting any background check(s), which includes providing information requested by Project Ash including, but not limited to, full legal names and addresses. If the Prize includes meeting a celebrity, meeting a public figure, or attending a special event and any background check indicates, in Project Ash’s sole discretion, that the potential winner or the potential winner’s guest(s) pose a danger to or may harm the reputation of any person or entity involved in the sweepstakes, Project Ash may disqualify said winner and move on to the next randomly drawn potential winner. Pending a positive outcome of the confirmation process, an Project Ash representative will notify the potential winner via email and/or phone. The potential winner must respond within the time period designated in the notification, or Project Ash may move on to another randomly drawn potential winner. Before confirming a potential winner as the winner, Project Ash may require the potential winner to confirm their eligibility. Once that’s done, the potential winner and guest(s) must execute and return all required documents within the time frame specified by Project Ash. If you do not execute and return all required documents within the time frame specified by Project Ash, you will forfeit the Prize and Project Ash will move on to another randomly drawn potential winner.
Travel companions are also required to sign a liability/publicity release prior to issuance of tickets. Additionally, travel companions/guests of the winner may be subject to a background check, which may impact their ability to participate in the prize.
Once a campaign closes, our team conducts a drawing (powered by random.org) in order to find a lucky winner. Once that winner is chosen and details are coordinated, we’ll email you and share the good news, and post their bio in the campaign page! Winners are typically announced 10-14 business days after the campaign has closed.
If you win a Project Ash campaign, we’ll email you and share the good news! After that, a dedicated team makes sure your experience is unforgettable. We manage the travel/accommodations and coordinate with the celebrity/ influencers so you can just focus on having the time of your life.
Project Ash is a for-profit company. Officially, our competitions are ‘sweepstakes,’ and it’s important to note that there are varying legal interpretations on whether a contribution that also awards people consideration (chances of winning a grand prize) is deductible.
UK HMRC Guidance
Payments to a charity in return for services, rights or goods are not gifts to charity and so are not eligible for the Gift Aid Scheme. For example, the following cannot come within the Gift Aid Scheme:
- payment for admission to events (jumble sales, concerts)
- payment forraffle or lottery tickets (including 100 tickets) – the payment to purchase a raffle ticket from a charity is not a gift but a payment for the right to enter the raffle – it does not matter that the chance or expectation of winning a prize is small or that the prize is of little value
HMRC accepts that at a charity auction individual may be willing to pay substantially more than an item is worth in order to support the charity concerned. The basic requirements of Gift Aid still apply, including the benefit rules.
For items that are freely available and have a retail price, the benefit for Gift Aid purposes is the retail price. If an auction item is not openly available, such as an item owned by a celebrity, its value for Gift Aid purposes is the price paid for it at the auction. The value of services offered which are not usually available to buy, such as babysitting for an evening will also be 100 per cent of the amount given with none of the sum available for Gift Aid.
If the value of the item exceeds the permitted benefit limits* for Gift Aid, the donor can treat the auction payment as being payment for the item and any excess can be treated as a donation.
However, the excess payment can only be treated as a donation if the item is capable of being purchased separately and if the donor is aware of the value of the benefit at the time of the auction and is aware, at the time they make a successful bid, that the item could be purchased separately and for what price. HMRC also states that charity and the donor should keep evidence of this arrangement – for example an exchange of letters.

These limits apply separately to each donation.
It’s important to note, your donation is tax deductible to the extent allowed by law. We always recommend speaking with your accountant or tax professional before deducting contributions made through the Project Ash website.
Other General Questions
Our donor rewards ship out about 4–16 weeks after the campaign you donated to closes. Subject to availability.
We know that’s a long time to wait, but it’s for a good reason: we make everything at the end of a campaign, so it’s all produced at the same time. This leads to less cost and more money going to our charity partners. We so appreciate your patience as we work to make sure your contribution has the biggest possible impact!
Digital Thank You Cards, and Videos will be sent to the email address you provided when you donated. Like all rewards, please expect these to be delivered within 4–16 weeks.
Please note that we must coordinate with our celebrity/ influencers to secure signed merchandise while respecting their busy schedules, so thanks for hanging in there if these rewards take a bit longer to be delivered!
If you receive a “failed payment” message indicating your card was declined or its CVV/ CVC code was entered incorrectly, please go back to the campaign page and try again! If it fails to process a second time, try using a different browser and ensure it’s up to date.
Sometimes older versions of certain browsers will interfere with donation submissions. Lastly, please make sure you’ve entered all the right details and the shipping and billing addresses match. Sometimes it’s the smallest of things which make these issues occur.
